# Yashvi Konnect — How to use the system A simple guide for running your business money day to day. Live site: https://renewal.yashviglobal.com/ --- ## First 5 minutes (setup) 1. **Settings** — company name, address, phone, GST (if registered), invoice prefix. 2. **Catalogue → Bank Accounts & Cards** — add your bank accounts and credit cards. Mark which can receive money and which can pay. 3. **Catalogue → Vendors** — Hostinger, GoDaddy, etc. (optional but helpful). 4. **Clients** — add the people/companies you work with. 5. **Service Catalogue** — your standard prices (SEO package, domain, hosting…). Then you are ready to sell, bill, and track money. --- ## Everyday questions (Money home screen) Open **Money** every morning. Click **client names** or **service names** on any row to open that record directly. --- ## How money flows (simple map) ``` Lead (Opportunities) → Client → Subscription / Order → Bill (invoice) → Collect payment → Money in (bank credit only) Spend paid from bank → Money out / Left over Spend paid from credit card → Card spend only (bank cash unchanged) · P&L still counts the purchase as a cost (accrual) Renewal confirmed by client → **Confirm renewal** (creates a real sent bill) → asked “Payment received?” → Yes: Bill settlement amount (TDS is taken from it) → No: stays under Money to collect Debt EMI from bank → interest → Money out / Left over → principal → Cash after debts (not Business Left over) Debt EMI charged to a card → Card spend only Pay credit card statement from bank → expense type “Paid card bill (from bank)” → that amount IS Money out (cash leaves the bank) → do NOT log the same purchases again as a normal expense ``` **Cash vs card (Money board):** Left over = bank in − bank out. A card swipe does not reduce Left over. Paying the card bill from bank does. Card spend is the liability tracker for the period. Reports → P&L still includes card purchases as business cost. --- ## Module by module ### Money (Dashboard) Your business command center — goal, health, actions, and top 5 lists. Everything important is one click away. - **Business health strip** — clients, MRR, profit, churn, deals (click any tile). - **Quick actions** — log expense, new deal/client/bill without leaving Money. - **Action panels** — top 5 bills to collect, **bills to pay**, renewals due (Collect / Pay / Confirm). - **Glance row** — includes **To pay (30d)** for upcoming utilities, EMIs, card statements, and vendor costs. - **Flat sections** — open deals, biggest clients, forex/payables; **View all →** for full drill. ### Pay bills One place for money going out on a schedule: - **+ Add bill** — electricity, rent, etc. Tag **Personal** or **Company**; optional monthly recurrence. - **Credit cards** — set statement amount + due date on each card (Catalogue → Accounts, or **Update statement** on Pay bills). - **Debts** — set **EMI amount** and due date on each loan; auto-appears in the queue. - **Pay** opens the right form (expense, card bill, loan payment, or vendor payment) pre-filled. Personal expenses can be marked when paying so they are excluded from business P&L. ### Clients Your customer list. See outstanding and lifetime cash. Open a client for details and notes. ### Opportunities (Deals) Sales leads with estimated revenue. Status: Open / Won / Lost. **Comments:** save the deal first, then add comments and replies. ### Subscriptions & Assets Recurring work (retainers, domains, hosting…). - Set **Next due** for renewals. - **Do not invent a bill** until the client confirms. - Click **Confirm renewal** → creates a **sent** invoice, then asks if payment already arrived. - If the subscription price changes while an **unpaid** bill exists, use **Sync bill** (or accept the prompt) to update the bill to the new amount. Bills with partial payments are not auto-updated. - Enter the **full bill settlement** amount. TDS is **taken from that amount** (not added on top) — bank receives settlement − TDS; together they settle the bill. **Money in** counts only the bank credit. TDS is a **receivable** (claim after FY return / Form 26AS) — see **Reports → TDS Ledger**. - “Waiting for payment” is set automatically on confirm; cleared when fully paid. ### One-Time Orders Projects and one-off work (not monthly retainers). Same idea as subscriptions for billing. ### Billing & Payments Create bills with **Save bill** (always sent). **Collect** opens the full bill (line items, GST, prior payments) plus the payment form in one screen — use **Edit bill** or **Print** from the same modal if needed. Record payments with the **Settlement amount** (full bill) and optional **TDS deducted** (withheld from that amount — bank gets the rest). **Money in** and the monthly goal count bank credits only; TDS stays under TDS receivable until you claim it after return filing. Set **Date Received** to the real bank date (including back dates) so Money in counts in the correct month. To change a payment later: **Edit** on a prior payment in the Collect modal, or **Reports → Transaction Ledger → Edit**, or **Money in** drill-down → **Edit**. You can update the date, amounts, TDS, method, and account, or **Delete** the payment. ### Expenses & Vendor Payments - **Normal expense** — business spend. If paid on a card, choose that card under **Paid from** so it hits **Card spend** (not Money out / Left over). Bank-paid spend hits Money out. - **Paid card bill (from bank)** — only when you settle the card statement from your bank. Pick the **bank** account, not the card — this reduces Left over. - **Vendor payments** — bank-paid → Money out; card-paid → Card spend only. - **Personal** expenses stay off the Business cash board and off P&L. ### Catalogue Price menu, vendors, bank/cards, vendor payment history. Credit cards show **Spent (period)** matching the Money screen period. ### Reports Deeper numbers (P&L, GST, TDS, client profit…). Use when you need detail. Daily truth stays on **Money**. ### Debts & capital (sidebar: Debts) - Add a debt (loan). - Record repayments: split **principal** (reduces still-to-repay) and **interest** (real cost). - Capital = money you put in or take out as owner. - Net worth = rough “what you are worth” after debts. ### Settings Company profile, invoice prefix, GST, payment instructions shown on invoices. --- ## Credit cards — do’s and don’ts | Do | Don’t | |----|--------| | Log each purchase as an expense **Paid from** that card | Expect the swipe to reduce **Left over** (it won’t — only Card spend / P&L) | | When you pay the statement from bank, use **Paid card bill (from bank)** | Log the same purchase again when you pay the bill, or use “Fixed overhead” for the bill (double-counts) | | Check **Card spend** on Money for the period | Expect Card spend to equal “amount due on statement” (we don’t track statement balance yet) | --- ## Debts — do’s and don’ts | Do | Don’t | |----|--------| | Treat **Still to repay** as a balance | Treat the full loan as this month’s loss | | Put **interest** in the EMI as interest | Put the whole EMI as “expense” twice | | Put **principal** as principal | Expect principal to reduce Left over (business) — it only hits **Cash after debts** | --- ## Suggested weekly habit 1. Open **Money** — check Left over, Money to collect, Money you owe, Card spend; work the **Bills to collect** and **Renewals due** panels (or click KPIs for full lists). 2. **Confirm renewal** only after the client agrees (creates the bill). Sync the bill if you changed the subscription price. 3. Log expenses the same day (with correct Paid from). 4. Record debt EMIs with principal + interest split. 5. Update open deals and comments. --- ## Tips if numbers look wrong - **Left over too high** — bank expenses not logged, or wrong period; card swipes do not reduce Left over (check **Card spend**). - **Card spend empty** — purchases missing **Paid from = credit card**. - **Left over drops when you pay the card** — expected: settling the statement is when cash leaves the bank. - **Money to collect low** — renewals not confirmed yet (no bill until Confirm renewal). - **Old drafts banner** — click Remove all drafts once to clean up autogenerated bills. - **Double spending feel** — you logged purchases on card *and* logged the card bill as a normal expense. Use **Paid card bill** for the settlement. - After deploy, hard-refresh the browser (**Ctrl+F5**). --- ## What this system is not (yet) - Automatic bank/card statement import - Full accountant software replacement for statutory filings (Reports help; your CA still matters for filings) Credit card **statement due** is now tracked manually on Pay bills / account settings (not auto-imported from the bank). Keep using it as your **daily truth board** — simple numbers you can trust before you decide.
